Refund Policy
This Refund Policy applies to website design, website development, SEO-ready architecture, maintenance and related services provided by Hubli Web Design.

This Refund Policy applies to website design, website development, SEO-ready architecture, maintenance and related services provided by Hubli Web Design, a brand operated by Vikas Solanke, Proprietor.
By engaging Hubli Web Design for a project, the client acknowledges and agrees to the terms of this Refund Policy.
1. Project Payments
Unless otherwise agreed in writing, website projects are generally structured as:
50% advance payment + 50% payment before launch.
The advance payment allows us to allocate resources, begin planning and architecture, commence design and development work, and schedule the project.
The exact payment structure for a particular project may be specified in the project proposal, quotation, invoice or written agreement.
2. Advance Payment
Once work on a project has commenced, the advance payment is generally non-refundable, because it covers work and resources already allocated to the project.
This may include, depending on the project:
- Discovery and requirement analysis
- Website planning
- Information architecture
- SEO architecture and planning
- Design work
- Development work
- Technical configuration
- Content structure
- Research
- Project management
- Third-party services or resources purchased specifically for the project
If a project is cancelled after work has commenced, the amount already paid may therefore be retained against work performed and resources committed.
3. Cancellation Before Work Begins
If a client cancels a project before any substantial project work has commenced, we will review the circumstances and determine whether a refund is applicable.
Any third-party costs, payment processing charges or other costs already incurred specifically for the project may be deducted where applicable.
Any refund, where approved, will be processed through the original payment method or another mutually agreed method.
4. Cancellation After Work Has Commenced
If the client decides to discontinue a project after work has commenced:
- Work completed up to the date of cancellation will be taken into consideration.
- The advance payment may be retained against work already performed and resources committed.
- Any additional amount legitimately due for completed work or committed third-party expenses may remain payable.
- Work will not be transferred or released until all applicable outstanding payments have been settled.
The specific circumstances of each project may vary, and the final determination will be based on the project agreement and the stage of completion.
5. Final Payment & Website Launch
The remaining 50% balance, unless otherwise agreed in writing, is payable before the completed website is launched or transferred to the client's production environment.
The website will not be considered ready for final handover until applicable outstanding payments have been received.
If the client delays the final payment after the agreed project deliverables have been completed, the project may be placed on hold until payment is received.
6. Client Delays
Website projects depend on timely input from the client, including content, images, approvals, credentials, technical information and feedback.
Where a project is delayed because required information, approvals or materials are not provided by the client, such delays do not automatically create a right to a refund.
If substantial additional work or project rescheduling becomes necessary because of prolonged client-side delays, the project scope or timeline may need to be revised by mutual agreement.
7. Changes in Scope
A refund will not ordinarily be provided because a client changes their requirements after work has already been completed.
Requests that fall outside the originally agreed scope may be treated as additional work and may involve additional charges.
We will communicate significant scope changes and associated costs before proceeding wherever reasonably possible.
8. Third-Party Costs
Certain projects may involve costs paid to third-party providers, including but not limited to:
- Domain registration
- Web hosting
- Premium software or plugins
- APIs
- Third-party services
- Stock assets or licensed resources
- Email or other infrastructure services
Third-party costs that have already been incurred on behalf of the client are generally non-refundable, subject to the refund policies of the relevant third-party provider.
9. Website Handover & Source Code
Where full source code and project files are included in the agreed project scope, they will be handed over after all applicable project payments have been received.
The client's domain remains under the client's control.
A refund request does not automatically entitle the client to receive completed source code, design files, development work or other project assets before outstanding contractual payments have been settled.
10. Services Already Delivered
Payments for services that have already been substantially performed are generally not refundable.
This includes situations where the client has reviewed, approved or used substantial portions of the work.
Where a project contains multiple independently deliverable components, refund consideration may be limited to portions of the project that have not yet been substantially performed, subject to the applicable project agreement.
11. Maintenance & Recurring Services
Where a client separately purchases ongoing website maintenance, hosting or other recurring services, refunds will be handled according to the specific terms applicable to that service.
Third-party infrastructure or service costs already incurred on behalf of the client may not be refundable.
12. Refund Requests

The request should include the client's name, project details, payment information and reason for requesting the refund.
We will review the request based on:
- The agreed project scope
- The stage of completion
- Work already performed
- Resources already committed
- Third-party costs incurred
- Payments already made
- Any written agreement between the parties
13. Refund Processing
Where a refund is approved, the applicable amount will generally be returned using the original payment method where reasonably possible.
The time required for the refund to appear in the client's account may depend on the payment gateway, bank or financial institution involved.
14. No Refund for Guaranteed Business Outcomes
Website development is a professional service and not a guarantee of a particular commercial outcome.
Refunds cannot be claimed solely because a website does not achieve a particular:
- Google ranking
- Traffic level
- Number of enquiries
- Number of leads
- Conversion rate
- Revenue
- Sales figure
- Business result
As stated in our Disclaimer and Terms & Conditions, Hubli Web Design follows an SEO-first, search-friendly approach, but search engines, markets, competition, customer behaviour and other external factors are outside our control.
15. Exceptional Circumstances
We may consider exceptions to this Refund Policy where there are genuine exceptional circumstances.
Any such exception will be considered on a case-by-case basis and does not create an automatic entitlement to a refund or establish a precedent for future projects.
16. Changes to This Policy
We may update this Refund Policy from time to time to reflect changes in our services, business practices or applicable requirements.
The latest version published on this page will apply to future engagements unless otherwise agreed in writing.
